Updating Email Signatures

Email Signature Templates

Your email signature is a digital business card and just like our business cards are all uniform, Marketing requests that everyone uses the template below for their email signature. A cohesive and universal email signature is imperative to showing customers Quench’s professionalism as well as our brand. As such, please refrain from including personal quotes and taglines and be sure to use the font type as outlined in the templates below.

Updating an Email Address in a Signature Block in “Old” Outlook

  1. Open Microsoft Outlook on your computer.
  2. In the standard view where you can see the list of emails, at the top of the screen you should see:

  3. Select File, which will bring you to this screen. Select “Options”

  4. Select Options, which will open this screen. Navigate to “Mail” and make sure “Compose messages in this format” is set to HTML. Click on “Signatures”.

  5. Select “New” (Suggested name: Culligan Quench 2024)

  6. Copy and paste the signature below into the empty textbox making updates to the signature details (including your cell phone number in your email signature is optional).

    Please be sure the Font Type is Arial. If the colors of the text do not copy over, the blue color composition is Red: 0, Green: 74, Blue: 152; the gray color composition is Red: 151, Green 152, Blue 154. If you have any issues, please email Megan Backus in Marketing.

  8. Select SAVE to save your updated signature.
  9. Be sure your default signature settings are set to “Culligan Quench 2024.”

  10. Select OK to implement your updates.

If the logo does not render in your signature or it looks fuzzy, you may have to insert the image. Please follow the steps below to insert an image into your email signature.

  1. Save “Quench_EmailSignature_07222024” to your computer. Take note as to where you have saved it.

  2. Navigate to the email signature editing screen using the steps above.
  3. Select the insert image icon.
  4. Navigate to where you saved the “Quench_EmailSignature_07222024.” Select “Quench_EmailSignature_07222024” and click the “Insert” button.

  5. Select SAVE to save your changes. Select OK to implement the updates.

Updating Email Signature Block in “New” Outlook

  1. Save “Quench_EmailSignature_07222024” to your computer. Take note as to where you have saved it; you will need it later.
  2. Open Microsoft Outlook on your computer.
  3. In the standard view where you can see the list of emails, at the top of the screen you should see:

  4. Click on the gear icon in the top right corner.

  5. Select “Signatures” then select “New Signature” (Suggested name Culligan Quench 2024)
  6. Copy and paste the signature below into the empty textbox making updates to the signature details (including your cell phone number in your email signature is optional).

  8. Select the image icon

  9. Navigate to where you saved the “Quench_EmailSignature_07222024” file. Select it and click the “Insert” button.

  10. Be sure your default signature settings are set to “Culligan Quench 2024”
  11. Select SAVE to save your changes.

Updating Email Signature in iPhone

  1. Open Microsoft Outlook app on your phone.

  2. In the standard view where you can see the list of emails, at the top of the screen click on your initial in the circle:
  3. Then select the gear in the bottom left of the screen

  4. Then scroll to the “Signature” line, which is about halfway down the page

  5. You can copy and paste or type out your signature. The logo image will not render in the mobile signature. Also, the mobile device will not allow you to change the color of the text in the signature.

  7. Closing out of that window will save your signature and it will be automatically added your mobile emails.

Updating Email Signature in Salesforce Classic

  1. Navigate to the “My Settings” by clicking on the dropdown menu next to your login name.
  2. On the left hand side, click on “Email” then “My Email Settings.”
  3. Update your email signature as outlined above. For the logo image, please copy and paste the following line of HTML code onto its own line:

    If you have issues or trouble inserting the logo image, it is not required for Salesforce signatures.

Updating Email Signature in Salesforce Lightning

  1. Navigate to the “My Settings” by clicking on your user icon in the top right corner. Then click on “Settings”
  2. On the left hand side, click on “Email” and then “My Email Settings.”
  3. Update your email signature as outlined above. For the logo image, please copy and paste the following line of HTML code onto its own line:

    If you have issues or trouble inserting the logo image, it is not required for Salesforce signatures.
